Executive Assistant

Overview
The executive assistant is the portal to the president and a highly visible representative of the bureau and Seattle to its members and board, our clients and to the public. The goal of the executive assistant is to provide warm, professional and exemplary service to all internal and external customers–representative of the high service standards for which Seattle and our hospitality industry is known. We are looking for a polished professional with the ability to juggle a variety of tasks under pressure. The ideal candidate will have experience assisting at the executive level in the hospitality or travel industry and is able to demonstrate initiative by working to anticipate the needs of the president. The successful candidate will have the ability to develop and build strong relationships, and consistently exhibit enthusiastic and cheerful support to the workplace.

Essential Job Functions

  • Manage the President’s calendar, contacts and special mailing lists
  • Travel planning for the President
  • Handles incoming calls and correspondence
  • Board-appointed Corporate Secretary to include: preparation of minutes, agendas and resolutions extensive knowledge of bylaws and governance issues, build profiles of board members, develop relationships with board member assistants
  • Reconciles President’s credit card reports
  • Maintains discretion and confidentiality of all bureau, board and personnel matters
  • Demonstrates and supports service standards for front desk, mail room and kitchen
  • Ensures front desk coverage at all times
  • Supervises front desk and mail room operations
  • Responsible for the facilities operations including: building management and janitorial work requests, coordinate office moves and reconfigurations; furniture, keys, build-outs, point of contact for parking, janitorial and security
  • Assist with event planning as needed

Qualifications

  • Bachelor’s degree preferred
  • Three to four (3-4) years of administrative/project experience in hospitality, travel or service preferred
  • Ability to foster relationships, multi-task, adapt without direction, handle unexpected events, solve problems and manage projects with minimal supervision

Marketing Manager

Responsibilities
Seeking a creative, outgoing marketing manager to handle a variety of programs, projects and events. The marketing manager will work directly with Bureau’s ad agency and provide administrative support as needed but will also be responsible for developing in-house creative, promotions and special projects. The Marketing Manager will conduct market research and analysis, prepare reports, manage multiple projects at one time and track business and monitor responses.

Qualifications
A minimum of two (2) years of experience in marketing, advertising (agency) or similar field. Strong design sense to create and oversee the development of various flyers, brochures and promotional materials (print and electronic). Must have excellent communications and writing skills, public speaking and editing. Strong computer skills, social media with some experience developing e-newsletters, blogs or similar online communications. We are looking for a creative thinker, one that can take an idea and make it happen. Ability to do market research and analysis, prepare reports, manage multiple projects at one time and track business and monitor responses. Knowledge of event planning and meeting coordination a plus. Individual should be comfortable working with members of the community or clients directly. A strong team player, with a friendly, outgoing personality who really enjoys working with people. Some travel, need own transportation. Perfect job for someone with a couple of years of marketing experience, communication/design/journalism degree who is ready to take that next step forward in their career.

Executive Director
Shasta Cascade Wonderland Association (SCWA) and Redding Convention & Visitors Bureau (RCVB)

Job description statements are intended to describe the general nature and level of work being performed in this position. They are not intended to be construed as an exhaustive list of responsibilities, duties, and skills required.

General Summary
Manages the daily operations of SCWA & RCVB; plans, coordinates, and marketing activities to enhance the City of Redding, and the Shasta Cascade region’s image as a destination for visitors, conventions, corporate meetings, business travelers, tournaments, tours, and events. Serves as the marketing director for the Redding Tourism Business Improvement District (TMBID), known as the Redding Tourism Marketing Group (RTMG), and manages the operation of the TMBID organization. As the manager of these two organizations, the decision to participate in travel missions, both domestic and international; deciding which travel industry organizations to participate in for staff of both organizations; and the commitment of resources for various marketing strategies and  evolving technologies will be a significant responsibility.  The ability to provide productive in region guidance and assistance to county and city visitors bureaus will help orchestrates successful regional marketing efforts.   

Essential Duties and Responsibilities
(1) Implements SCWA & RCVB goals and objectives, recommends, and administers organization’s policies and procedures. Reports to the SCWA and RTMG Boards of Directors.
(2) Develops and facilitates marketing strategies in cooperation with both the SCWA & RTMG Boards of Directors and its committees to promote the Shasta Cascade region and Redding as a visitor and convention destination for the benefit of the region’s hotel/motel and tourism related industries, including an annual marketing plan. Ensures membership retention and growth are a top priority for the SCWA.
(3) Develops plans and prudently administers the annual operating budgets for the SCWA, RCVB and RTMG; directs the forecast of funds needed for staffing, equipment, materials, and supplies; monitors and approves expenditures.
(4) Selects, trains, supervises and evaluates subordinates; assigns work activities, projects and programs; monitors work flow, ensures all programs are conducted in an efficient and timely manner.
(5) Participates, and takes on a leadership role in professional groups and committees, Federal lands management public oversight committees, and attends conferences, conventions, trade shows, and special events in other cities as the representative for SCWA, RCVB and the RTMG.
(6) Conducts overnight travel as necessary to present the region’s combined travel product to potential visitors and business prospects and participates in marketing events and meetings in and outside the Shasta Cascade region. (May include multi-day travel and working evenings and weekends.)
(7) Serves as liaison to the local and regional hospitality industry in the Shasta Cascade region, such as hotels, restaurants, recreation outfitters, retail centers, and area attractions.
(8) Prepares and presents written and oral reports regarding the activities and services of the SCWA, RCVB and the RTMG.
(9) Coordinates and attends all the SCWA and the RTMG Board of Directors meetings.
(10) Oversees the production for all media for SCWA, RCVB and the RTMG, including websites, print and alternative media.
(11) Provides timely, accurate and thorough performance reviews to subordinates.
(12) Develops research, tracks visitation and surveys visitors to obtain valuable feedback and visitor data.
(13) Applies for or supervises the application process for grand funds for the SCWA, and works with local and regional “alliances” to leverage available Transient Occupancy Tax (TOT) funds.

Other Duties and Responsibilities
(1) Responds to and resolves difficult and sensitive citizen/visitor/business inquiries and complaints.
(2) Stays abreast of new trends and innovations in the tourism marketing and convention and meetings industry.
(3) Performs other duties as assigned.

Minimum Job Requirements
Education

Bachelor’s degree in marketing, communications, public relations, public administration, business administration, or a related field. Absent a bachelor’s degree, experience of no less than twice the time requirement for achieving a bachelor’s degree (or 8 years) may be substituted with progressively responsible travel industry related positions.

Experience
Five (5) years of directly related and progressively responsible work experience in the convention, visitor, hospitality and/or tourism industry is a plus, with a minimum of three (3) years management experience required. Career experience in positions which directly transfer to the management of non-profit organizations is helpful.

Overview
Seattle’s Convention & Visitors Bureau is now hiring for a Tourism Manager to join our team of dedicated, service-oriented professionals. This position is responsible for several market segments and provides assistance and destination expertise for domestic travel agents, travel professionals and group leaders. The successful candidate will be a polished professional who is able to demonstrate excellent communication and relationship-building skills. We are looking for someone who is passionate and knowledgeable about this region and of the travel industry. This position requires significant contact with national and international travel professionals; answering their questions, gathering information, promoting bureau services, etc. so we need someone very service-oriented, personable and professional in their communication style and demeanor. Candidate must be capable of, and comfortable with, working with a very diverse group of people from different cultures who are not necessarily native English speakers.

Essential Job Functions

  • Manage assigned market segments.
  • Promotes the area as a visitor destination to travel professionals and tour groups through the marketing plan.
  • Promotes the destination by participating in major industry trade shows and conferences.
  • Develops and implements programs and familiarization tours, targeting travel agents, tour operators, wholesalers, and receptive service operators; creates and oversees maintenance of a database of these individuals.
  • Maintains knowledge of members' properties and services through on-site visits and ongoing communication; works with member properties to develop tour itineraries and packages.
  • Maintains contact through direct mail, telephone, or personal sales calls with tour operators/travel agents to promote the region and develop awareness of the area as a leisure destination.
  • Develops and coordinates group-oriented familiarization tours, sales blitzes, etc.
  • Develops and implements a tracking and lead distribution system to evaluate the effectiveness of promotional efforts, including relevant sales data, and to record group business to the destination, including hotel room nights, attraction and restaurant numbers.
  • Communicates with and develops programs to educate members on issues, topics, and new trends relating to the group tour industry.
  • Works with directors in developing cooperative opportunities in which Bureau members can participate, such as advertising, trade, consumer shows and conventions.
  • Works with the communications/public relations department to publish and distribute annual publications, including the group tour manual and the visitors guide. Manages inventory to ensure credibility is established with advertisers; works to build advertising commitments.
  • Communicates sales leads to members.
  • Could eventually require international travel.
  • Manage ad hoc or miscellaneous projects as required.

Education, Prior Work Experience and Specialized Skills and Knowledge

  • Bachelor’s degree required.
  • Three to five (3-5) years of relevant experience in the travel industry or destination marketing management required.
  • Strong service approach with both internal and external customers.

  • Highly proficient in client relationship management.

The Albuquerque Convention & Visitors Bureau, a private not-for-profit organization, seeks an individual to promote Albuquerque as a meeting, convention and event destination by managing and performing sales and management support activities within a designated region or segment.  Selling Convention Center city-wides and non-center individual hotels meetings and conventions. In the absence of the department VP, manages the sales team and serves as the department point of contact. Conducts regular departmental updates with VP on various departmental functions (Convention Sales, Services & Sports Department).

Qualifications
Qualified candidates will have a BA degree in a related field and five (5) or more years of senior- level sales experience in the hospitality industry, or equivalent combination of education, training and experience. Demonstrated ability in sales and marketing skills acquired through progressively more responsible positions; understands and uses sound and ethical selling practices. Ability to effectively present information and respond to questions from groups, clients, customers and the general public.
